We received the following announcement from Lowell Rotary Club regarding a request for bids for their lunch catering.
Purpose
The Rotary Club of Lowell is seeking catering bids for our regular luncheon meetings. Rotary is a service organization that brings together leaders from the Lowell area to raise awareness of local businesses and organizations. The group comes together each week to share ideas and take action to improve the community and the world. For the purposes of this RFP you should plan on serving an average of one meal each month on Wednesdays at noon, with some exceptions. See attached schedule.
Scope of Work
The facility at Lowell city hall has limited kitchen space so caterers will need to prepare food off site and deliver to city hall, ready for noon meetings.
Meeting Day: Wednesdays
Time: Noon
Location: City Hall – Second Floor, with some exceptions
Number of meals: Enough for 30 people, 1 week notice will be given if more are expected
Lunch is served buffet style on disposable plates, with flatware all provided by the caterer. There is limited storage available for caterers wishing to leave basic supplies on site.
If you are one of the selected vendors, we will provide you a complete schedule of your luncheons for the entire year.
Performance Standards
Keep in mind that these are lunch meals and need not be a heavy dinner with main course, salad and vegetable. Many Rotarians seek a healthier lifestyle and luncheons should reflect that with a variety of lighter, healthy meals. Ideally, meals should provide some flexibility for Rotarians that have special dietary needs. Meals are typically served with water, but other beverages such as ice tea or lemonade are welcome if available within budget. Dessert is not necessary, but occasional light desserts (i.e. cookies, brownies, etc.) are welcome.
Terms & Conditions
Selected caterers will be contracted for one year of service beginning July 1, 2023, through June 30, 2024. Budget for weekly meals shall not exceed $15.00 per person. Payment is made each week upon completion of the meal.
Requirements for Proposal
All proposals are due in writing no later than 5 pm on May 30, 2023. You can email them to [email protected] or send them to Rotary Lunch, PO Box 223, Lowell MI 49331.
Your proposal must include the following:
- Restaurant/Caterer name
- Contact person
- Phone number
- At least three sample menus with per meal cost
Relevant health department certifications to be available upon request
Award Process
All proposals will be reviewed, and Rotary will contact you by June 14, 2023 if you are selected to cater for the 2023-24 year. New catering contracts will go into effect on July 1, 2023.
